HR data is among the most sensitive a company holds. Everything below is a mechanism in the product, not a policy statement — each one can be demonstrated in a live workspace.
Privacy- EU data hosting
- Candidate records live in a database in Frankfurt and files in EU-only object storage. Text AI runs on Mistral's EU endpoint. Speech-to-text runs on Cloudflare Workers AI, which is not pinned to an EU region.
- Personal data is encrypted in the database
- AI analyses, offer documents and salary figures are encrypted field by field at rest, not just on the disk underneath; reads go through a view that decrypts only what your role may see. Names and contact details stay searchable and are protected by workspace isolation and access control instead.
- One query cannot cross organisations
- Every table enforces row-level security scoped to your workspace, in the database rather than in application code. A mistake in a query returns nothing, not somebody else’s candidates.
- Role-based access
- Owner, admin, recruiter and interviewer see different things. Access is scoped per organisation and enforced in the database, not just the interface.
- Account security
- Two-factor authentication, active session management, idle timeout and a login history you can review.
- Audit history
- Decisions, stage changes and analysis runs are appended, never overwritten. You can reconstruct why an answer was given.
- Deletion and retention
- Candidate records can be deleted on request, and consent to keep someone in the talent pool is recorded and revocable.
- Every score shows its working
- The model supplies evidence and must quote the CV verbatim; the number itself is calculated in code you can read. When a requirement is marked met, you can see the line that met it.
Kadroflow never rejects, ranks or hires anyone on its own. It organises evidence and shows what is missing; a named person makes every decision and the record says who.
That is a deliberate product boundary, not a limitation we plan to remove.
